Booking Conditions and Cancellation Policy
We kindly ask you to read the conditions below carefully. Every confirmed reservation is considered a contract according to the current Italian legislation. This is a binding contract for who makes the booking and all people mentioned in it, minors included.
It is possible to send an inquiry and await our reply. We will send you a (non-binding) offer. The reservation can be considered confirmed only if followed by a written communication. Villa Imperina will retain it binding only after receiving a copy of the bank transfer made as deposit, or the details of a credit card (used for guaranty). It is compulsory to send a copy of the bank transfer per email (email@example.com).
Afterwards, Villa Imperina will send the Guest a confirmation email. The confirmation of the booking entails the acceptance of our cancellation policy. We kindly ask you to check the correctness of the details on the confirmation e-mail and to inform us immediately in case of any possible anomaly. The communication must be sent not later than 4 days after having received the confirmation. After this term we decline all responsibility regarding any inaccuracy. Upon arrival it is compulsory to show the passport or identity card of each person. To modify the reservation, it is necessary to contact the reception department. We will do our best to satisfy any request. If the date change coincides with the period when rates are higher compared to those of the previous booking, the Guest will pay the balance.
A credit card will be required in order to confirm and guarantee the reservation. In case you decide not to provide a credit card for your booking, a deposit via bank transfer will be required. The lack of one of these two conditions required as guaranty will entitle Villa Imperina not to confirm the reservation. A 50% deposit of the total amount of the stay is required and - as established by the civil code, art. 1385 - it will not be refunded in case of cancellation beyond the terms of the cancellation policy or no-show.
Preauthorization: Villa Imperina is entitled to check the validity of the credit card provided before the Guest’s arrival taking a preauthorization. The preauthorization will cover up the full or the partial amount of the stay for a limited period of time to prove the validity of the credit card given. NO PAYMENT WILL BE COLLECTED.
The preauthorization automatically expires 20 days after it has been taken and the amount will be released. In case of preauthorization declined, the Guest will be informed and the reservation cancelled. This frees the hotel from any obligation to the Guest.
Advanced payment, non-refundable rate: the payment of the full amount of the stay through credit card or bank transfer is required booking this special rate. The full amount is not refundable. In some periods different terms may occur. Kindly check your booking confirmation.
Extension of the stay: the extension of the stay requires an additional booking and is subject to availability and price changes.
Cancellation Policy (Individual Reservation)
Any cancellation of the reservation must be communicated in writing. For the cancellation conditions kindly refer to your booking confirmation.
Cancellations or modifications made up to 48 hours before the arrival date will not be charged.
In case of late cancellation or no-show 100% of the stay will be charged.
Special conditions in case of reservations where a discounted rate was applied:
Cancellations or modifications made up to 14 days before the arrival date will not be charged.
In case of late cancellation or no-show the full stay is charged.
Non-refundable rate conditions: the full amount of the stay can be charged at any time after booking. To be noted: in case of cancellation, modifications or no-show, the full amount of the stay will be charged.
No-show: in case of no-show, the full amount of the stay will be charged.
Premature departures: no refund is foreseen in case the Guest decides to interrupt the stay and the full amount of the stay will be charged.
Booking and Cancellation Policy for GROUPS
The person who makes the reservation is considered the group leader and confirms to be authorized by the other participants to accept booking conditions and cancellation policies of Villa Imperina. The group leader is responsible for the payment of all reservations confirmed by him/her. Once an option has expired, a new inquiry must be made directly and exclusively by the group leader.
Modifications of the reservations are not possible. It is necessary to cancel the booking and to make a new one.
Deposit: a 30% or 50% deposit of the full amount of the services booked is required in order to confirm the reservation. This deposit is not refundable.
Rooming list: the group leader is responsible for sending the final rooming list of the group as soon as possible and in any case not later than 15 days before the arrival date.
Any cancellations must be sent per email. The reservations cancelled are subject to penalty as follows:
Up to 30 days prior the arrival date no penalty is applied.
From 29 to 15 days before the arrival date, the deposit paid will be retained and a 30% penalty of the full stay will be applied too.
From 15 to 7 days before the arrival date, the deposit paid will be retained and a 50% penalty of the full stay will be applied too.
From 7 to 0 days before the arrival date, the deposit paid will be retained and a 100% penalty of the full stay will be applied too.
5. Force Majeure Events
The direction declines any responsibility in case of poor service due to shortage of supplies, unexpected faults to equipment or other force majeure events. The direction declines any responsibility even in case of damages caused by other Guests, weather conditions, natural calamities, epidemics, diseases, thefts.
Special Requests and Health Issues
Any special request must be made at the moment of booking. Although we will do our best to satisfy all your requests – if reasonable – we cannot ensure that we will be able to meet all your needs.
We cannot accept reservations containing a clause that forces us to satisfy a special request.
All bookings will be considered “standard” bookings subject to the regulations regarding special requests. Any health issues or disabilities which may interfere with your stay must be communicated before confirming the booking. If we should deem reasonably not to be able to satisfy your request, we reserve the right to cancel your reservation. If your request should arrive after the confirmation of your booking, it will not be considered.
You are responsible for all your travel documents. You will not be refunded in case you are not able to travel or to end your stay because your documents are not in order. Neither are we responsible for any extra charges that may incur consequently.
